Who we are
LearnFrame Solutions ("we", "us", "our") is a digital learning consultancy based in Dublin, Ireland. We are the data controller for personal data collected through this website (www.learnframe.com) and through our direct business activities.
You can contact us at paul.robinson@learnframe.com.
What personal data we collect
We collect the following personal data:
- Information you give us directly — when you fill in a form on the site (such as the contact form, the resource request form, or the discovery call booking), we collect your name, email address, company name, and any message or details you choose to include.
- Information collected automatically — when you visit the site, our analytics and CRM tools collect non-personal information about your visit, such as the pages you view, how long you spend on each, the referring source, your approximate location (city level), the device and browser you're using, and a randomly generated session identifier.
- Information from email engagement — if you receive emails from us and click links within them, we may collect basic engagement data (whether you opened the email and which links you clicked).
How we use your data
We use your personal data to:
- Respond to your enquiry or send you the resource you requested
- Follow up about related learning content, services, or programmes from LearnFrame Solutions where you have not unsubscribed
- Understand how visitors use the site so we can improve it
- Maintain our business records, including contracts and invoices for clients
We do not sell your personal data. We do not share it with third parties except where strictly necessary to deliver the services we provide (see "Third-party services" below).
Legal basis for processing
Under UK and EU GDPR, our legal basis for processing your personal data is one of the following:
- Consent — when you submit a form on the site, you give consent for us to store and process your details to respond to that submission and follow up about related content. You can withdraw consent at any time.
- Legitimate interest — for analytics, site improvement, and contacting people who have previously engaged with us professionally, where this does not override your interests or rights.
- Contract — for clients, to deliver the services we have agreed.
- Legal obligation — to maintain records required by Irish law (such as financial records).
Third-party services we use
To run our business and this website, we use the following third-party services. Each has its own privacy policy and acts as a data processor on our behalf or, where indicated, an independent data controller.
- HubSpot — our customer relationship management (CRM) and marketing platform. Form submissions, contact records, and basic site analytics are stored in HubSpot. HubSpot privacy policy.
- Google Analytics 4 — used to understand how visitors find and use the site. Google Analytics processes a randomised identifier rather than your name or email. Google privacy policy.
- Calendly — used for booking discovery calls. If you book a call, your name, email, and any meeting notes are processed by Calendly. Calendly privacy policy.
- Netlify — hosts this website. Standard server logs (such as IP address) are processed for security and operational purposes. Netlify privacy policy.
- Email service providers — used to deliver legitimate emails to people who have requested resources or are clients. We use HubSpot's email infrastructure for this purpose.
Some of these providers are based outside the European Economic Area (EEA). Where data is transferred outside the EEA, we rely on appropriate safeguards including the European Commission's Standard Contractual Clauses or equivalent mechanisms.
Cookies
This website uses a small number of cookies and similar technologies for the following purposes:
- Strictly necessary cookies — required for the site to function (for example, to remember preferences during your session).
- Analytics cookies — set by Google Analytics and HubSpot to help us understand how visitors use the site.
- Functional cookies — set when you interact with embedded forms or booking widgets (HubSpot forms, Calendly).
You can control or block cookies in your browser settings. Blocking some cookies may affect how the site works for you.
How long we keep your data
We keep your personal data for as long as necessary to fulfil the purposes for which it was collected, including:
- Form submissions and contact records: retained for as long as you remain in contact with us, or until you ask us to delete them.
- Email engagement data: retained for up to 24 months to inform our communications.
- Client records: retained for the duration of the engagement plus seven years after, in line with Irish business and tax record-keeping obligations.
Your rights
Under UK and EU GDPR you have the following rights in relation to your personal data:
- Access — request a copy of the data we hold about you
- Rectification — ask us to correct inaccurate data
- Erasure — ask us to delete your data ("right to be forgotten")
- Restriction — ask us to limit how we use your data
- Portability — receive your data in a structured, machine-readable format
- Objection — object to processing based on legitimate interest
- Withdraw consent — at any time, where processing is based on consent
To exercise any of these rights, email us at paul.robinson@learnframe.com. We will respond within one month.
You also have the right to lodge a complaint with the Data Protection Commission of Ireland if you believe we have not handled your data in accordance with the law.
Unsubscribing from emails
Every marketing email we send includes an unsubscribe link in the footer. You can also email us directly at paul.robinson@learnframe.com and ask to be removed from our mailing list. We process unsubscribe requests within a few working days.
Changes to this policy
We may update this policy from time to time. The most current version is always available at this URL, with the "Last updated" date shown at the top.
